Job Description:

Job Summary:  Provides administrative support for agency.  Must perform all interactions with clients and staff in a trauma informed manner; abide by HIPAA and 42CFR confidentiality requirements in all interactions with businesses, family members, friends of clients, and other agencies and the general public.
  • Provides administrative support for Leadership Team, including returning phone calls, sending faxes, correspondence, data entry, typing, etc.
  • Responsible for coordination of requirements, planning, development of accreditation plan for CARF (Commission for the Accreditation of Rehabilitation Facilities) with key management staff. Works with appropriate staff to collect required data/information and documentation throughout agency as required by CARF.
  • Prepares for and coordinates agency site visits, including communication with staff and ensuring facility is prepared.
  • Serve as a member of the Health and Safety Committee. Schedule meetings including sending calendar invites to appropriate members and reserving meeting space, maintain meeting minutes, emergency drill file, medication errors, and critical & minor incidents. Provide quarterly summary to health and safety team.
  • Assist with fundraising data collection and processing, including processing mailings, entering donations in eTapestry and creating thank you letters and reports as needed. Update donor records to ensure accurate mailing addresses/information are on file.
  • Serve as contract liaison; secure required signatures, make copies, and return as required to other entities and provide copies to internal staff as needed or requested; reviews contracts to ensure agency is meeting requirements regarding background checks, insurance, etc.
  • Responsible for monitoring and communicating with key staff to assure agency is meeting all contract terms, grant objectives (outcomes) and timelines.
  • Coordinate and take minutes for meetings as requested by Leadership, including Management Team and Leadership Team meetings.
  • Responsible for data entry of survey responses and/or distribution of surveys.
  • Responsible for recommending and developing agency-wide evaluation of areas of need in the organization and to ensure quality improvement efforts in coordination with Executive Leadership Team members.
  •  Coordinates case record review quality improvement activities in conjunction with Clinical Directors including compiling and reporting results. 
  •  Responsible for actively participating with the Leadership Team and key clinical staff to ensure the information system produces regular reports with client demographics and program evaluation to measure client outcomes. 
  •  Works with key personnel to set goals and objectives for programs and subsequent completion of outcome portion of reporting requirements such as United Way, JBC, and Region V.
  •  Performs quality improvement reviews and monitors the agency’s conformance with quality improvement plans, standards, and policies and procedures in conjunction with Leadership Team.
  •  Develops surveys and assessments of alumni, current clients, staff, board members, community members, referral sources, etc. on a regular and on-going basis and compiles and presents results annually. 
  • Conducts and/or coordinates focus groups with each program and compiles and presents results to appropriate staff. 
  • Maintains and coordinates annual review of agency policies and procedures insuring conformance with accreditation standards. 
  • Attends and participates in the monthly meetings of the Region V Quality Improvement Team. 
  • Serves as back-up for front desk coverage as needed.
  • Attend at least two training sessions per year on cultural competency.
  • Complete all monthly and Annual Relias online e-learning courses on time, in compliance with state and accrediting organizations training requirements. 
  • Performs other duties as assigned by management. 

Job Requirements:

Qualifications:  Highly competent in the use of computers and software programs including Electronic Health Records and Excel preferred; experience providing administrative support; experience with accreditation helpful; experience collecting, compiling, evaluating and reporting data preferred; knowledge in the use of general office equipment; ability to lift up to 25 pounds; possess a valid driver’s license; strong organizational, interpersonal, written, and verbal communication skills; ability to perform comfortably in a fast-paced, deadline-oriented work environment; ability to successfully execute many complex tasks simultaneously; and ability to work as a team member, as well as independently.  High School diploma, GED, or equivalent certification and experience in administrative support, OR relevant Associates and/or Bachelor’s degree.
