Job Description

Center for Psychological Services, PC has a position open for an Administrative Assistant to be responsible for handling and overseeing clerical tasks in our office. Job responsibilities include handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, updating paperwork and other documents, and performing other general office clerk duties and errands. Education/Experience: High school diploma or associate degree. Experience as an office assistant and/or experience in the medical or behavioral health field preferred. Job Requirements

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Assist the Office Manager and Director in the overall operation of the office. Organize office and assist staff in ways that optimize processes and procedures
  2. Greet clients when they come in, check them in and collect any payments or forms required
  3. Assist in the process of new referrals and inputting new referrals into the EHR
  4. Answer a majority of incoming calls and provide assistance or take messages as appropriate.
  5. Maintains schedules for the staff, including the on-call schedule.
  6. Monitoring the reception area 
  7. Assisting clients with initial paperwork, scan in documents to Electronic Health Record and coordinated with staff.
  8. Verify insurance coverage for clients
  9. Updating paperwork, maintaining documents, such as clients Electronic Health Records.
  10. Helping organize and maintain office common areas.
  11. Performing general office clerk duties and errands.
  12. Assist in scheduling "staffings" with supervisors and clinical staff. 
  13. Maintain supply inventory and order office supplies.
  14. Assist with the dissemination of information and communication with outside entities.
  15. Handle all material, written or verbal, in a professional manner such as to ensure proper lines of communication are maintained. Confidentiality is of the utmost importance. All information regarding clients must be kept in confidence.
  16. Maintains confidentiality in accordance with The Center for Psychological Service's policy and procedure manual. Failure to comply with these requirements may result in immediate termination of employment.

JOB QUALIFICATIONS: Education/Experience: High school diploma or associate degree. Experience as an office assistant and/or experience in the medical or psychological field preferred.

4. Above average communication and interpersonal skills (both face-to-face and phone); ability to work successfully with a wide variety of personalities and to work extensively with confidential information.

5. Mastery of secretarial science and abilities, including; use: use of word processing software and data entry. High degree of accuracy required.

6.Flexibility and Organization is essential

WORK SCHEDULE:   Monday -Thursday 8:30 a.m. to 5:30 p.m and Fridays 8:30-2:00
